Overview: The EPFO E-Sewa Employer Portal allows businesses to manage establishment details, employee provident fund records, Electronic Challan-cum-Returns (ECR) and monthly PF payments. This guide explains the registration process, the revamped ECR workflow, contribution rules and common filing errors. It also covers important 2026 changes that employers should consider while reviewing payroll systems and statutory compliance.

EPFO compliance involves more than submitting a monthly return. Employers must maintain correct employee records, calculate contributions properly, file ECRs and ensure that the corresponding payments reach the Employees’ Provident Fund Organisation (EPFO) on time.

Recent changes include the revamped ECR system, the new Employees’ Provident Funds Scheme, 2026 and an increase in the statutory wage ceiling from ₹15,000 to ₹25,000 per month with effect from 17th September, 2026. These changes make accurate payroll data and timely reconciliation especially important for employers.

Key Functions of the EPFO E-Sewa Portal

The Unified Employer Portal supports establishment registration, employee enrolment, ECR filing, challan generation and contribution payments.

Establishment registration: Employers provide establishment, PAN, bank, ownership and authorised-signatory details to obtain the applicable EPFO code. Form 5A records ownership, management, branches and other establishment particulars. Update it when these details change.

Employee records and UAN: Employers should verify employees’ UANs, joining and exit dates, wages and KYC details before filing returns. Since 1 August 2025, regular UAN generation and activation use Aadhaar-based face authentication through the UMANG app, subject to specified employer-side exceptions.

How to File ECR and Pay PF Contributions

EPFO introduced its revamped ECR system from the September 2025 wage month. It separates return submission from payment generation, adds system-based validations and supports Regular, Supplementary and Revised Returns. The existing ECR text-file format remains unchanged.

Follow these steps:

  1. Prepare payroll data: Reconcile wages, attendance, new joiners, exits, UANs, Aadhaar status and contribution calculations.
  2. Upload the ECR: Log in to the EPFO Unified Employer Portal and upload the prescribed text file for the relevant wage month.
  3. Resolve errors and approve: Check employee-wise wages, contributions and system validations. Select the appropriate return type and review the payable amount before approval.
  4. Generate the challan and pay: Generate the challan after approval and complete payment through an available authorised channel. Retain the Temporary Return Reference Number (TRRN), challan and bank confirmation.

The usual deadline for monthly PF contributions is the 15th of the following month. Employers should plan payments in advance, particularly when the due date falls on a weekend or public holiday, rather than assuming an automatic extension.

Filing a return or generating a challan does not confirm successful payment. Reconcile the return, challan and bank debit before closing the monthly compliance process.

Important EPF Compliance Changes in 2026

The Code on Social Security, 2020, came into effect on 21st November 2025, while the Employees’ Provident Funds Scheme, 2026 came into force on 1st July 2026, subject to applicable saving provisions.

The Chapter III wage ceiling increased from ₹15,000 to ₹25,000 per month with effect from 17th September 2026. Employers should review potentially affected employees and update payroll calculations where required. The ceiling change should not be treated as an instruction to apply every PF or pension calculation to ₹25,000; the applicable scheme provisions and employee circumstances must also be checked.

The statutory definition of wages includes specified components such as basic pay, dearness allowance and retaining allowance, where applicable. Permitted exclusions are subject to the statutory 50% rule, under which excess excluded remuneration may be added back to wages.

EPF coverage generally applies to establishments employing 20 or more employees, subject to the applicable law. Voluntary coverage may be available under Section 1(5) of the Code on Social Security, 2020, subject to the required agreement and approval.

Common Errors and Statutory Risks

Incorrect wages, mismatched UAN or Aadhaar details, delayed exit updates and outdated Form 5A information can lead to filing errors or contribution discrepancies.

Late deposits may attract interest and damages in addition to unpaid contributions. Under the Code on Social Security, 2020, Section 127 addresses interest and Section 128 addresses damages. EPFO documents may also refer to legacy labels such as “7Q interest” and “14B damages”. Employers should check the legal basis and period stated in the relevant notice or order.

Maintain payroll registers, employee records, current Form 5A, approved ECRs, challans, bank confirmations and reconciliation records for inspection and audit purposes.
