Setindiabiz Private Limited ("Setindiabiz", "we", "us", "our") understands that circumstances may change after you engage our services. This Cancellation and Refund Policy outlines the conditions under which you may cancel services and request refunds. This policy forms an integral part of our Terms of Use and should be read in conjunction with those terms.
1. GENERAL PRINCIPLES
- Our cancellation and refund framework distinguishes between two types of fees, each with its own refund rules. Professional or service fees paid to Setindiabiz are subject to a strict 7-day window from the date of order placement for refund eligibility. Government fees that we hold on your behalf remain refundable at any time if they have not been remitted to government authorities. This distinction is fundamental to understanding your refund rights.
- We deliver services through our in-house team and, for regulated services requiring licensed professionals, through independent Chartered Accountants, Company Secretaries, Cost and Management Accountants, or Advocates from our panel. Our policy strikes a balance between flexibility for clients and the practical realities of service delivery, including work completed, government fees paid, and commitments made on your behalf to professionals.
2. CANCELLATION PROCEDURES
- To cancel a service, please submit a written request to help@setindiabiz.com with your order ID or invoice number, the service name, package details, reason for cancellation, and any supporting documentation. We acknowledge cancellation requests within one business day and provide a detailed response regarding refund eligibility within three business days.
- For professional fee refunds, requests must be submitted within 7 days of placing the order. Government fee refund requests can be submitted at any time. Upon accepting your cancellation, we immediately cease all work and notify engaged professionals to stop. Documents created up to cancellation remain your property and will be provided upon request.
3. REFUND ELIGIBILITY
- Professional/Service Fees
- Within 4 Hours of Order Placement: You receive a 100% refund if no staff, resources, or partners have commenced work directly or indirectly. Once work begins, including initial communication or documentation preparation, the 100% refund window closes immediately.
- After 4 Hours but Within 7 Days:
- If Service Work Has Not Commenced: A minimum deduction of 25% will be applied to all cancellations. This covers the costs associated with the sales process, advisory services, and administrative efforts. If the service work has not yet begun, you will receive a 75% refund.
- No Refund If Service Work Has Commenced: No refund will be issued if the service cannot be completed due to factors outside of our control or resulting from your direct actions or inactions. These factors include, but are not limited to:
- Changes in law or government policy.
- Government rejection of your application.
- Your failure to submit the required documents.
- Your failure to submit the required information.
- Your ineligibility for the service.
- Substantial delays on your part.
- Your lack of responsiveness or unavailability.
- Any impediment caused by your action or inaction.
- For other instances where partial work has been completed, the final refund amount will be determined solely at our discretion.
- Government Fees: Government fees are refundable at any time, without timeline restrictions, provided they have not been paid to the authorities. This includes cancellations made before submission, excess fees collected, or changes to the fee structure. Once paid to government departments, such as the Ministry of Corporate Affairs, GST authorities, or the Income Tax Department, these fees become non-refundable as they cannot be recovered from government treasuries.
- Non-Refundable Components: The following are strictly non-refundable: third-party payments made on your behalf (digital signatures, stamps, notarization, courier fees), payment gateway charges (2-3% of transaction value), fees paid to licensed professionals who have commenced work, completed services and deliverables already provided, and professional fees where service failure is due to client-related factors as outlined above.
4. REFUND PROCESSING
- GST Compliance: All refunds are processed with GST-compliant documentation in accordance with Section 34 of the CGST Act, 2017. We reverse the original tax invoice to the extent of the refund value and issue a credit note showing original invoice details, reason for refund, taxable value being refunded, GST reversal amount, and net refundable amount. GST input tax credit adjustments are made in our returns accordingly.
- Processing Timeline and Method: Once approved, refunds are initiated within seven working days from the date of credit note issuance. Actual credit timelines vary depending on the payment method: credit cards (5-15 business days), debit cards (7-20 business days), bank transfers (5-7 business days), and digital wallets (2-5 business days).
- Refunds are processed to the original payment source for security and GST compliance. If the source is unavailable (closed accounts or expired cards), we require KYC verification, alternative account proof, and a written declaration before processing to an alternate method.

6. DISPUTE RESOLUTION
- For disagreements with refund decisions, please request a review at help@setindiabiz.com within three business days. Professional fee reviews are only available for requests made within the original 7-day window. Government fee reviews are entertained anytime. Appeals are reviewed within five business days by uninvolved team members.
- While you may initiate chargebacks through payment providers, we contest invalid claims with comprehensive documentation. Repeated invalid attempts may result in account suspension. Unresolved disputes are subject to arbitration under the Arbitration and Conciliation Act, 1996, with New Delhi jurisdiction.
7. CLIENT RESPONSIBILITIES
- To maintain refund eligibility, you must respond promptly to information requests, provide complete and accurate documents, review and approve drafts promptly, and maintain active communication. Failure voids professional fee refund eligibility but doesn't affect unutilized government fee refunds.
8. DOCUMENTATION
- We maintain comprehensive records, including invoices, credit notes, refund calculations, GST filings, and records of government fees and taxes. You receive credit note copies, refund calculations, transfer confirmations, and updated statements. All records are maintained in accordance with statutory requirements.
